Predeparture Information for You & Your Clients
Backroads Travel Planner
Once you have made a deposit for your client's reservation, you will receive an email confirmation with invoices attached, an Agency copy and a Guest copy. We do NOT mail invoices. Please forward the Guest copy on to the client.
Once we have finalized all details of the trip, you will receive by mail two copies of our detailed Travel Planner (one Agency copy, one Guest copy) with the following information:
- Detailed trip itinerary with hotel contact list
- Pre- and post-trip accommodation suggestions
- Directions to the trip start and transportation suggestions
- Suggested packing list
- General trip information, such as climate, passport, visa and inoculation information
- Travel Protection Plan information
- Backroads luggage tag
IMPORTANT! Please do not use sample itineraries to book non-refundable flights and travel arrangements as details of the trip are often adjusted from season to season. The final Travel Planner will be emailed and mailed to you when ready,
RELEASE & WAIVERS AND PERSONAL INFORMATION
Release Form and Personal Information Form must be signed online on your client's Backroads Account (you are unable to sign these documents on their behalf). The lead contact's email address is required to create their Backroads Account and they can sign the forms for their entire household.
APPAREL
As our gift to your clients, we will send you one Backroads jersey or cotton T-shirt per traveler 30 days prior to departure. Be sure to provide us with sizes and preferences well in advance or ask your clients to enter the details on their Backroads Account. Let us know if you'd like us to ship these items directly to your clients.
BIKES & EQUIPMENT
To finalize your client's reservation, please provide us with their bike and equipment preferences prior to their final payment date. Your client also has the option of entering their preferences online on their Backroads Account.
The Travel Planner and the final invoice are the only documentation for your client's vacation. We do not send travel vouchers or other final documents.
